3. How do we collect and use your information?
| You give us your info directly. We only use it when it's needed, and to put a name to the face.
We collect your information directly during the sign up process within our mobile Room app.
We’ll only use your personal information where we have a valid reason to do so. Below, we’ve set out the ways in which we use your personal information and the reasons we rely on to do so.
Where we mention “legitimate interests”, this is the reason we rely on when we feel that it is necessary to use your information in our and/or your interests and doesn’t unfairly affect your rights over your information.
1. To provide and improve our service through the Room app.
Information you give us You choose to give us certain information when using our services. This includes:

When you create an account, you provide us with at least your login credentials, as well as some basic details necessary for the service to work, such as your gender and date of birth.

When you complete your profile, you can share with us additional information, such as details on your personality, lifestyle, interests, as well as content such as photos and videos.

To add certain content, like pictures or videos, you may allow us to access your camera or photo album. Some of the information you choose to provide us may be considered “special” or “sensitive” in certain jurisdictions, for example your racial or ethnic origins, sexual orientation and religious beliefs. By choosing to provide this information, you consent to our processing of that information.
Information we receive from others In addition to the information you provide us directly, we receive information about you from others, including:

Other Users: Other users may provide information about you as they use our services. For instance, we may collect information about you from other users if they contact us about you.

Social Media: You may be able to use your social media account (such as Instagram photos) to add content to your Room account. This saves you from having to remember yet another user name and password and allows you to share some information from your social media account with us.
2. To send you marketing emails if you want to receive them
We will only send you marketing emails if you have given us permission to do so by signing up to receiving these emails on our website. You can choose to get all or some of the following different types of marketing emails:

Updates on Room generally

Updates on loyalty programmes, offers and events with partners.
We can only do this with:
Your consent. If you change your mind about this, you can withdraw your consent at any time by clicking on the “unsubscribe” link at the bottom of each email or by contacting us using the details at the top of this policy.
3. To manage our relationship with you as a Room user

4. Who do we share your information with?

Since we want to enable you to meet new people, the main sharing of users’ information is, of course, with other people, as per your privacy settings. We also share some users’ information with service providers and partners who assist us in operating the services and, in some cases, legal authorities.

With our service providers and partners: We need to share information with organisations which supports any parts of the Flow service that you use including our IT providers, payment processing providers, email marketing service providers and customer service. You can ask us for more information about these organisations by contacting us using the details at the top of this policy.

With other people: We share your information with other people as per your privacy settings (and in the case of any sharing features available on Room, the individuals or apps with whom you may choose to share your information with) when you voluntarily disclose information on the service (including your public profile). Please be careful with your information and make sure that the content you share is stuff that you’re comfortable being publicly viewable since neither you nor we can control what others do with your information once you share it. If you choose to limit the audience for all or part of your profile or for certain content or information about you, then it will be visible according to your settings.
We may share your personal information with other organisations so we can provide Room's service to you, provide a better service to you and comply with our legal duties. We have set out below who these organisations are and the reasons for doing so.
5. Where do we keep your information?
| Only in secure places.
We don’t usually store or send your information outside of the European Economic Area (“EEA”).
If we do store or send your information outside of the EEA, we will make sure we have put measures in place in order to protect your information to the same data protection standard as in the UK and the EEA.
We will only share your information with organisations and countries that:

The European Commission has said have similar data protection laws as in the EEA

We have entered into a contract with which include certain requirements to make sure your information is protected to the same standards as in the EEA and the UK

Have chosen to comply with a set of rules called the Privacy Shield framework which includes data protection standards for transfers of personal information between the United States and the EEA

6. How do we keep your information secure?
| We have guard dogs. Really big ones. With sharp teeth.
We will always make sure we put security measures in place to protect your information from being destroyed, lost or shared with somebody that shouldn’t see it. However, we cannot guarantee your information from every security risk that may be possible. As ever, we will endeavour to prevent all possible security risks, as defined in our Security Policy document.
7. How long do we keep your information for?
| As long as you're with us. In practice, we delete or anonymize your information upon deletion of your account. This could be longer if the law requires it.
We will only keep your personal information for as long as is necessary for us to do so for the reasons we collected it for in the first place (which is the delivery of our services to you).
Generally, we will keep your personal information for as long as you are a Room user, unless:

We must keep it to comply with applicable law

We must keep it to evidence our compliance with applicable law

There is an outstanding or potential issue, claim or dispute requiring us to keep the relevant information until it is resolved; or

The information is kept for our legitimate business interests, such as fraud prevention and enhancing users' safety and security. For example, information may need to be kept to prevent a user who was banned for unsafe behavior or security incidents from opening a new account. Keep in mind that even though our systems are designed to carry out data deletion processes according to the above guidelines.

8. What are your rights?
